Coupa General FAQs

What is Coupa, and what are its functions?

Coupa is a cloud-based purchasing and payment solution with an intuitive interface, designed to simplify the process for suppliers to connect with Magna Electronics. This new system will streamline the management of all purchase orders and communications through the Coupa Supplier Portal.

How does Coupa work?

Coupa is used to onboard new suppliers and maintain supplier data.

When live with Procurement, Suppliers will see their Purchase Orders via the Coupa Supplier Portal (CSP) or receive them electronically via email and will be able to acknowledge/action the Purchase Order direct from the email.

Is it mandatory to use Coupa?

Yes, it is mandatory for onboarding and Procurement for the Magna Electronics entities which are live. If you receive a Coupa Purchase Order, you must follow the Coupa process.

Is there training material available on how to use the system?

While the system is very intuitive, webex training and training materials are available on our dedicated page for training material. Coupa also has a range of training materials you can access Coupa Success Portal.

What’s the cost of transacting with Magna Electronics through the Coupa Supplier Portal (CSP)?

There is no charge for suppliers to use Coupa.

Coupa Supplier Portal

What is the Coupa Supplier Portal (CSP)?

The Coupa Supplier Portal (CSP) is a free online platform that enables Magna Electronics suppliers to manage purchase orders, participate in indirect sourcing, update company details, and create or modify catalogs. It simplifies communication and processes between suppliers and businesses using Coupa for procurement.

What are the main advantages of joining the Coupa Supplier Portal (CSP)?

Key benefits include:

  • Free self-serve tool for suppliers – easily update profiles and contact information
  • Easy-to-use – receive all purchase orders and track payment status in real time
  • One stop shop – easily create and submit invoices online
  • Decreased paperwork – no longer need to print
  • Standard processes = faster authorizations
Will we need any additional software to use the Coupa Supplier Portal CSP?

No additional software is required. Since Coupa is a cloud-based platform, all you need is an active email account and a web browser to access the portal and transact with Magna Electronics.

How do I register for the Coupa Supplier Portal CSP?
How much time does it take to register for the Coupa Supplier Portal (CSP)?

The registration process takes under 5 minutes after receiving the invitation email.

I already have a Coupa Supplier Portal (CSP) account. What steps do I need to take to enable Magna Electronics?

As we already set you up from our side, you will be easily able to link Magna Electronics to your Coupa Supplier Portal account. Simply forward the invitation to one of the email addresses you have linked to your existing CSP account.

Where can I find more information on the Coupa Supplier Portal (CSP)?
What should I do if I get locked out of the CSP?

Forgotten passwords can be retrieved via the forgotten password link on the CSP portal, at the Login stage. If you have further issues, you can also contact the Coupa Live Chat on the right hand corner of the login page.

CSP Onboarding

Will existing suppliers be automatically set up on the new platform?

Magna Electronics will initiate Coupa CSP invitations for applicable suppliers. Suppliers will have to do the actual registration themselves.

Do we need to let Magna Electronics know if we already use Coupa with other customers?

No, Magna Electronics doesn’t need this information. However, you can connect your account to ours.

Can we have multiple users per organization?

Yes, an organization can have multiple users on their CSP account. The initial request will be sent to the primary supplier contact listed in Magna Electronics records. Once this individual registers for the CSP, they will be granted a CSP Admin account, allowing them to invite other users from their organization to the platform. If needed, they can also control the level of access granted to each user.

Will we be able to transact with multiple Magna Electronics entities against one profile?

You will be able to serve multiple Magna Electronics legal entities through the same CSP profile.

Different Magna Electronics entities are going live in Coupa during 2025 and beginning of 2026 check the website for details of transition dates. Purchase orders are assigned specifically against different Magna Electronics legal entities.

If I already have a Coupa login for another customer, can I use it to access both customers in one account?

Once you accept the Magna Electronics CSP invitation, you will be able to link this account to your existing CSP account. A portal login is based on your specific email address. You will be able to view all of your customers in one place if each customer has the same email address for you. You can then access multiple companies/customers through a single Coupa Supplier Portal account by selecting them from the ‘Select Customers’ dropdown.

If we have an existing CSP account, how can we change our username?

Please refer to the supplier help page on the Coupa website https://supplier.coupa.com/help/

We do business with different Magna Electronics entities; will we receive separate CSP invitations for each?

If your company is a single legal entity, you will receive one CSP invitation and be able to view all purchase orders on the portal.

Notifications

How will I be notified of an order?

The email addresses listed in the Supplier record in Coupa will receive the purchase order output. Additionally, users set up in the CSP will also receive notifications, provided the appropriate notification settings are enabled.

Will we need to check Coupa daily for notifications, or will we receive email reminders to prompt us to check?

Depending on the notification settings configured in the user's CSP account, Coupa will generate both email and portal notifications.

Can we have multiple email addresses for notifications of orders?

Yes. Multiple email addresses can be added to the Supplier record in Coupa to receive the purchase order output. Additionally, the supplier users who have been setup in the CSP will also get the notification providing the necessary notification settings are switched on.

Sourcing - Indirect Suppliers ONLY

Do we still send quotes via email?

Magna Electronics are encouraging our indirect buyer teams to utilise the sourcing module of Coupa, however there will be a transitional period where email quotation will still be used, please respond in accordance to the sourcing requirements.
